VetEvolve Builds a Scalable Financial Foundation With NetSuite

VetEvolve is a veterinary practice support organization that partners with independently owned veterinary practices across the eastern United States, providing back-office, operational, and growth support so practice owners and their teams can focus on patient care. Matt Peloquin, Controller at VetEvolve, joined the company four years ago and has led its accounting function through a period of rapid growth, including the shift from QuickBooks Desktop to NetSuite with Caravel as its implementation partner.
Challenge
- An Outgrown System: VetEvolve ran its accounting on QuickBooks Desktop, a setup that worked when the company had around fifteen locations but could not keep pace as the network of partner practices continued to expand.
- Fresh Capital, New Expectations: a recent recapitalization gave VetEvolve additional funding and made clear that the company needed a more scalable financial system to support its next phase of growth.
- No Built-In Planning Tool: VetEvolve wanted real-time reporting and key performance indicator tracking alongside a planning and budgeting tool, rather than layering a separate reporting product on top of its ERP.
- Limited Visibility for Partner Clinics: with each partner practice operating like its own small business, VetEvolve needed a system that could deliver timely, accurate financial data down to the clinic level.
Solution
VetEvolve narrowed its search to NetSuite and Sage. Both platforms met the company’s core requirements, but NetSuite stood out for its scalability and for NetSuite Planning and Budgeting, which lives inside the same ecosystem as the general ledger rather than requiring a separate reporting tool. That combination gave VetEvolve the ability to report out to its clinics on a monthly basis with real-time information.
After selecting NetSuite, VetEvolve went through multiple vendor demonstrations before turning to the timing and staffing of the project itself. The company deliberately avoided a year-end go-live and instead aligned the implementation with a round of new hires, including one team member with prior NetSuite experience, to help meet its go-live timeline. When evaluating implementation partners, VetEvolve prioritized experience, reputation, and honesty, checking references with its private equity sponsors and other trusted advisors before selecting Caravel.
“A lot of these different implementation partners will tell you whatever go-live timeline you want to hear regurgitated back to you. We wanted somebody who spoke the truth to us, and thankfully, we found that in Caravel,” Peloquin said.
Once the project was underway, VetEvolve leaned on biweekly touch-base sessions and individual technical breakout sessions with Caravel, putting the bulk of its effort into upfront planning. Peloquin estimates the project took roughly one to five hours of his time per week and credits consistency, not intensity, for keeping the implementation on track.
For data migration, VetEvolve prioritized speed over completeness, bringing over a full year of current data plus year-to-date figures rather than years of historical detail. Because the company already relied on a separate reporting tool layered on top of QuickBooks, extensive historical migration was not critical to go-live, so VetEvolve planned to backfill prior years after the system was already live.
Outcome
With NetSuite live, VetEvolve has been able to give its partner clinics a level of detail that QuickBooks could not support, segmenting data by location, department, and class rather than a single consolidated view.
“By migrating over from QuickBooks to NetSuite, we were not only able to get our partner clinics data faster, but we were also able to get them more accurate data that was further segmented out to give them a better baseline for how they should be viewing the business and how to make better decisions” Peloquin said.
VetEvolve is now focused on getting more value out of NetSuite Planning and Budgeting and building automated, recurring reports for clinic stakeholders so practice managers and operations teams have real-time information without waiting on a manual month-end close. Longer term, the company is working toward replacing its current revenue-only distribution with a more holistic weekly flash report covering the full profit and loss statement.
