Timbers Resorts Brings a Global Portfolio Onto One Platform with NetSuite

Timbers Resorts is a luxury hospitality and real estate development company founded in 1999, when a single vision near the base village in Snowmass, Colorado grew into a global collection of private residence clubs, resorts, and hotels. Headquartered in Winter Park, Florida, just outside Orlando, Timbers today develops and operates properties across roughly 15 locations spanning Colorado, Florida, Arizona, Hawaii, Mexico, and Italy, supported by around 500 employees.
The company works with private equity firms and general contractors to acquire and develop land, then operates the finished resorts and clubs. As that portfolio grew, so did the complexity of running finance across it, and Timbers partnered with Caravel to consolidate onto NetSuite, going live on April 1.
Challenge
Timbers had outgrown a patchwork of accounting systems accumulated over two decades of expansion, and each move up the ladder solved one problem while leaving others in place. The company started on QuickBooks in its mom-and-pop days, graduated to Sage Timberline for job costing as it took on real estate development, and later moved to Microsoft Dynamics GP. None of those steps delivered what a global portfolio needed: a single, cloud-based source of truth.
The prior environment ran on a hosted virtual terminal, so leaders could not simply log in from Orlando and see current financials from Hawaii, Italy, or Florida; data had to be copied down to individual machines to work fully. Dynamics GP was also nearing end of life, with features and updates being sunset, which left Timbers without a clear path to scale as it added new hotels and properties.
The deeper problem was consistency. Because properties came onto different systems at different times, the same expense might carry a different code from one property to the next, vendor records had multiplied into the thousands with duplicates, and integrations were often locked to a single entity, so a tool purchased for one company could not be reused across the others.
Solution
After evaluating several leading ERP platforms, Timbers selected NetSuite for its cloud foundation, its ability to scale by standing up new properties from an existing template, and the breadth of integrations that fit the business. Rather than rush the transition, Timbers built a deliberate runway of roughly 12 months from software selection through go-live, and timed the cutover to a quarter cutoff to ease the transition. Leadership recognized early that this would be a heavy lift, so the company dedicated internal project leads who stepped back from day-to-day duties to carry the work alongside the Caravel team, investing an estimated 25 to 40 percent of their time in the rollout.
With that foundation in place, Timbers brought 39 legal entities, including property, investor, and corporate entities, onto one platform rolling up to consolidated financials. The migration doubled as a portfolio-wide cleanup, standardizing the chart of accounts, vendor lists, customer files, and core processes so every property operates the same way. Throughout, the partnership kept the project moving; Caravel typically replied within minutes and scheduled working sessions the same day or first thing the next morning.
“One of the biggest benefits was the chance to consolidate everything and make it consistent, not just the general ledger, but vendors, customers, and processes across every property. We went from close to 5,000 to 7,000 vendor records down to about a thousand,” said Andrew Blake, Corporate Director of Finance, Development at Timbers Resorts.
Outcome
Even in the first weeks after go-live, the move to NetSuite has begun to deliver the consistency and visibility Timbers set out to achieve.
- A single, consistent source of truth now spans the portfolio, replacing separate charts of accounts and disconnected files with standardized data across every property.
- Vendor records dropped by roughly 80 percent, from as many as 5,000 to 7,000 down to about 1,000, while Timbers retained the ability to track spend, activity, and invoices by individual company even where a vendor appears only once.
- Consolidated multi-entity reporting across 39 entities gives leadership visibility into any property from anywhere, rather than logging into separate systems.
- Reusable integrations and centralized governance let Timbers apply tools across multiple entities and route new account, vendor, and customer requests through a single check to prevent duplication.
Looking ahead, Timbers is continuing to refine its data and processes across the portfolio as staff settle into the new system, building on a foundation designed to scale with each new property the company brings online.
